Privacy Policy

TransitPin, Inc. ("TransitPin," "we," "us") provides real-time GPS tracking and transportation management software for student transportation and fleet operators. This Privacy Policy explains what we collect, why we collect it, and the choices you have.

1. Information we collect

  • Account information — company name, contact name, work email, phone number, and password when you create an account.
  • Operational data — vehicle locations, routes, stops, trip history, driver assignments, and rider rosters that our customers (operators, districts, and schools) provide or generate through the service.
  • Usage data — how customers and their riders use the service (pages visited, features used, app events). This is aggregated where possible.
  • Device data — GPS trackers transmit vehicle identifier, location, speed, and ignition state while the service is in use.

2. How we use information

  • To operate the service: live tracking, ETAs, notifications, dispatch, and analytics.
  • To support and improve the product, and to communicate with you about your account.
  • To keep the service safe, secure, and reliable — including monitoring for misuse.

3. What we never do

  • We never sell personal information or student data. Not now, not ever.
  • We do not serve targeted advertising from your data.
  • We do not share rider or student information with third parties except as needed to operate the service (e.g., hosting providers bound by confidentiality).

4. Sharing

We share data only with: (a) service providers who help us run TransitPin and are contractually bound to protect it; (b) customers, who control their own operational data; and (c) authorities, only where required by law and where we believe the request is valid. When we receive a request for student records, we notify the controlling customer (the district or operator) before complying, where lawfully permitted.

5. Retention

Operational data is retained while your account is active and for a reasonable period after, so you can export it. Live location streams are retained in aggregated form for analytics; you can request deletion at any time.

6. Your choices

You may access, correct, export, or delete your data at any time from your dashboard or by emailing support@transitpin.com. We respond to verified requests within 30 days.

Terms of Service

These Terms of Service ("Terms") govern your access to and use of TransitPin's websites, software, and services (the "Service"). By creating an account or using the Service, you agree to these Terms.

1. Your account

You are responsible for maintaining the confidentiality of your credentials and for all activity under your account. You must be a business, district, school, or authorized representative to use the Service. Accounts are for human operators — no automated scraping.

2. Subscriptions & fees

  • Pricing. TransitPin Schools is billed monthly at the published rate; TransitPin Fleet is billed monthly per active vehicle. Setup fees are one-time and non-refundable after onboarding begins.
  • Free trial. Trials are 14 days, no credit card required. At trial end you may subscribe or your trial account will be paused.
  • Changes. We'll give you at least 30 days' notice before changing recurring fees. Continued use after notice constitutes acceptance.
  • Cancellation. Cancel anytime; the service continues through the end of your paid period. You can export your data before cancellation.

3. Acceptable use

You agree not to misuse the Service: no unlawful activity, no attempts to breach security, no interference with other customers' data, and no use of tracking data to harass or surveil individuals beyond the legitimate transportation purpose of the Service. We may suspend accounts that violate these terms.

4. Customer data & intellectual property

You retain all rights to your operational data. TransitPin retains rights to the Service, its software, and its branding. Nothing in these Terms transfers those rights. We grant you a limited, non-exclusive right to use the Service during your subscription.

5. Hardware

Hardware sold or configured by TransitPin carries its own warranty terms provided at purchase. TransitPin works with compatible third-party devices, which are governed by their manufacturers' warranties.

6. Availability

We target 99.9% monthly uptime and publish status at our status page. The Service is provided "as is" with the warranties required by law, and no others. To the maximum extent permitted by law, TransitPin is not liable for indirect, incidental, or consequential damages, and our total liability under these Terms is limited to the amounts you paid us in the 12 months preceding the claim.

7. Changes to these Terms

We may update these Terms to reflect changes in the Service or law. Material changes will be announced by email at least 30 days before taking effect. Continued use after that constitutes acceptance.

8. Governing law

These Terms are governed by the laws of the State of Texas, without regard to conflict-of-law rules, and any disputes will be resolved in the state or federal courts located in Travis County, Texas.

Data Handling & COPPA

TransitPin handles two kinds of data with different rules: operator data (yours) and student data (information about minors, such as names on rosters and assigned stops). Student data gets the strictest treatment in our entire platform.

COPPA compliance. TransitPin is designed to help schools, districts, and operators comply with the Children's Online Privacy Protection Act (COPPA). We do not collect personal information from children directly — we receive roster and routing information only from authorized school officials and operators, and we use it solely to provide the Service. We never use student data for marketing or advertising, and we never sell it. Under COPPA, the school or operator acts as the parent's agent and provides consent for the educational context in which TransitPin operates.

FERPA & state student-privacy laws

We treat student records consistent with FERPA expectations and state student-data privacy laws where they apply. Our contracts with districts and operators include data-protection provisions, and we execute Business Associate-style addenda where required. We can sign your district's standard data-privacy agreement — just ask during onboarding.

Data minimization

  • We collect the minimum roster fields needed to route service: name, grade (where used), stop assignment, and route assignment.
  • Live location data is scoped to vehicles, not to individual students. Rider-level boarding data is only what you choose to record.
  • Student data is role-limited: only authorized staff see rosters, and parents see only their own child's bus.

Parent access & deletion

Parents who believe their child's information is handled improperly may contact the school or operator (the data controller for their child's records) or email support@transitpin.com. We honor verified deletion requests within 30 days, subject to the operator's legitimate record-keeping requirements.

Security

  • Encryption. All data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
  • Access control. Role-based access control, per-client data isolation, and mandatory multi-factor authentication for administrative accounts.
  • Monitoring. 24/7 intrusion detection, anomaly monitoring, and automated alerting on our infrastructure.
  • Backups. Redundant, encrypted backups with tested recovery — because a missing bus is never acceptable, and neither is a missing record.
  • Audits. We maintain SOC 2-aligned controls and conduct regular third-party security reviews of our platform.
